Mistakes In Bookkeeping And Corrections

Mistakes in posting, calculation, and trial balancing can lead to complications. Some of these errors will affect the trial balance statement whereas some others do not. Most of the errors will be revealed at the time of preparation of trial balance. Sometimes, it happens that an error will get counter-balanced by another error. In such cases, the error will not be disclosed by the trial balance. Such types of errors constitute what bookkeepers call the compensating errors. There are errors affecting only a single account as well as those affecting two or more accounts. The mistakes and errors ought to be spotted and rectified. These mistakes are corrected either with the help of journal entries or by posting some explanatory notes in the accounts concerned.

Rectification of bookkeeping errors can be carried out at two stages; before the formulation of final accounts or after the making of these accounts. The right method of correction is done by passing the journal entry in a way by which the correction is made by giving effect to the posted entry that must have been passed. But, in certain cases the correction cannot be carried out by taking the help of journal entry. In normal cases, while undertaking the procedure of rectification, the required amount is put on the debit column or on the credit side of the account concerned.

When it comes to errors affecting both the sides of multiple accounts, rectification of these types of errors can often be made possible with the help of an entry made in the journal. While making good these errors, what is done is that the amount is debited in one account or multiple accounts, whereas a similar amount is credited to the other accounts. It is always prudent to find out and rectify the errors just before the final accounts for the year are made. In some cases, when the bookkeepers, even after doing considerable amount of search, fails in their efforts to spot the errors, or when the said bookkeepers are in a hurry to make the final accounts, they transfer the amount at stake to a newly opened account called the ‘suspense account’. In the following accounting period, when the errors get detected, these are corrected by making reference to the suspense account. Once, the errors are rectified, the newly opened suspense account has to be closed.

One must not forget that only those kinds of errors that affect the trial balance can be corrected by resorting to the suspense account. Since the trial balance is affected by errors which can be corrected with the help of suspense accounts, to calculate the discrepancy, a table will have to be prepared. The net profit is affected only by those accounts that get transferred to profit and loss account during the process of preparation of final accounts. In other words, the mistakes that happen in nominal accounts and goods accounts are the parties that affect the net profit. Errors that get into these accounts will result in the increase or decrease of the profit netted.

In-house Accounting Software vs. Online Solutions. Which to Choose

Whether you choose to run your business accounting via online
accounting options or through an in-house accounting software package
depends on various factors. We discuss the pros and cons of online
accounting services to help you make an informed decision.

Ease of access

What’s good:
Online accounting services are accessible at any time, from anywhere,
through an internet connection. To access this accounting solution,
there is no need for a VPN.

However: Anytime, anywhere
access does carry potential risk such as the security of the Wi-Fi
connections that are used. Another consideration is that your employees
need to protect their screen views from onlookers if they are in a
public place.

The security factor

What’s good:
If you are the owner of a small company, an online bookkeeping service
may provide you with better security options than you would be able to
provide yourself with an in-house software solution.

However:
The level of security you need for your company is dependent on the
online service that you choose. To lock down access, however, larger
financial institutions prefer to keep their accounting interactions
within their own network.

The compatibility factor

What’s good: Many online accounting solutions are compatible across all platforms.

However:
In order to be able to use the service, you need to have internet
access, whereas if you have your bookkeeping software in-house, you will
be able to sync any time that you are on your computer.

The usage of resources

What’s good:
Online accounting service providers are responsible for keeping your
services running and they have to provide IT backup support.

However:
In order to be able to run online bookkeeping services, you need
adequate bandwidth and if your business is located in remote areas
without proper internet access, this could pose some challenges.

Employee productivity

What’s good:
Businesses have reported increased employee productivity with the use
of online services as any bookkeeping task can be undertaken remotely
without having to be at the office.

However: A reliable
internet connection is necessary. If this is not always possible it may
greatly hinder employee productivity and affect deadlines.

Backup options

What’s good: Internet based accounting service providers are responsible for data backup which is convenient.

However:
You need to depend on the provider to keep your sensitive information
safe and secure which may not be the right solution for every business.

What about up-front costs?

What’s good:
In most cases, the initial cost for online accounting solutions is
lower than if you were to purchase in-house bookkeeping software.

However: Online services may cost a little more in the long run as they often require you to commit to a long-term contract.

While many businesses today are choosing online accounting solutions,
it is important to consider accessibility, security, initial and
maintenance costs. In order to choose the best solution for your
business it is advisable to weigh up all the pros and cons carefully.

Comparison Between Manual And Computerized Accounting

Accounting is a fundamental slogan of every business. Without the accounting practice, it is difficult to be effective in your business. Its basically helps you to monitor the transactions happening and make sure that all the expenditures are meaningful. Accounting helps you to reduce the unnecessary expenses and increase the profit scale of the business. All the companies implementing the same strategy of recording the transactions to achieve the maximized profit with the minimized expenditure. Accounting can be done either manually or using the accounting software. We are going to discuss about the advantages and disadvantages of the manual accounting and the computerized accounting in this article.

Generally accounting cycle has certain steps of activities. Recording all the transactions as “Journal”. Posting them into ledger accounts. Preparing trial balance, making adjustment entries, preparing adjusted trial balance, preparing financial statements and proper disclosures, posting the closing entries and preparing the balance sheet. This is all about accounting. It is not a big deal to carry out this sequential process, but its become dramatically hectic when there are thousands of transactions.

Let us focus on the main issues of manual accounting here. Paper works are involved in manual accounting. All the accounting activities would be carried out on the paper manually. Obviously, it would take much time and resources for the large organization. Computerized accounting saves lot of time where in, the employee has to record the transactions and all the other calculations would be carried out by the software either automatically or by a request. Computerized accounting provides accurate results on the precised report but some software takes much time and resources as manual accounting requires. Hence, it is not easy to decide on which software would work more fast and economic. Best computerized accounting software is highly expensive. On the other hand, computerized accounting could handle thousand calculations simultaneously where as manual accounting needs much time to do that. Even then, we cannot say that manual accounting provides no benefits. Manual accounting can be handled with cheap work force and resources. It is reliable as it is done manually with minutes of observations. Do not have to rely on the machines.

The main advantage of computerized accounting is the speed and accuracy. We can have an easy backup and restoration system. All the data and information will be secured. The disadvantages includes high cost, updating the system, special training for the personnel, relying only on the machines and the reduced employment.

Both the computerized and the manual accounting got the merits and the demerits. They can be differentiated only in terms of cost, speed and the mobility. It can be implemented according to the size of the business. Small and Medium sized companies prefer manual accounting considering the low cost. They could utilize quality accountants and carry out the day to day activity or even they could simply offshore their accounting tasks to an outsourcing firm. Large scale businesses completely rely on the computerized accounting as it gives fast and accurate results. It would be really helpful for them to have the accounting records without any chaos.
